Tech Terms in Plain Language
Technology should make your business easier, not more confusing. Here we explain the most common automation, CRM, chatbot, and marketing terms so you know exactly what each tool does.
AI Chatbot
A computer program that talks with your customers automatically, using artificial intelligence to understand questions and give helpful answers — without a human being involved every time.
Example
A customer visits your website at 11 pm and asks about your pricing. The chatbot answers their questions, captures their contact info, and schedules a callback — all while you sleep.
API
A set of rules that allows two software systems to share information with each other automatically. You rarely interact with it directly — it works behind the scenes.
Example
When a customer pays on your website, an API tells your accounting software, updates your inventory, and sends a receipt — all at once, automatically.
Automation
Technology that performs a task automatically — without a human doing it manually every single time. You set it up once, and it runs on its own whenever the right conditions are met.
Example
Every time someone fills out your contact form, automation sends them a welcome email, adds them to your CRM, and notifies your team — without anyone lifting a finger.
Conversion
When a visitor takes the action you want — like filling out a form, booking an appointment, or making a purchase. A higher conversion rate means more customers from the same traffic.
Example
100 people visit your website. 12 fill out your contact form. That is a 12% conversion rate.
CRM
CRM stands for Customer Relationship Management. It is a system that keeps track of all your leads, customers, conversations, and follow-up in one organized place.
Example
A lead calls Monday, then sends a WhatsApp message the following week. A CRM keeps both linked to that person's record so your team always has the full history.
Customer Portal
A secure, private online space where your clients can log in to check on their project, view updates, submit support requests, or communicate — without sending emails back and forth.
Example
A client logs into their portal to see their project is 70% complete, approve a design, and send a message — all in one place, without emailing you.
Follow-Up
A message, call, or automated action taken after an initial contact to keep the relationship alive with a potential or existing customer.
Example
Someone fills out your form but never replies to your first email. An automated follow-up sends a second and third message over the next two weeks — and they finally respond.
Integration
Connecting two different software tools so they can share information with each other automatically, without manual data entry.
Example
When someone books an appointment on your website, an integration automatically adds them to your CRM, sends a confirmation email, and creates a task for your team.
Lead
A person who has shown interest in your product or service but has not yet become a paying customer. How well you manage leads directly affects your revenue.
Example
Someone calls to ask about your services but doesn't purchase that day. They are a lead — someone worth staying in contact with through follow-up.
Lead Capture
The process of collecting contact information — name, email, or phone number — from people who show interest in your business, so you can follow up with them.
Example
Your website offers a free guide in exchange for a visitor's email. When they enter their email and click download, that is lead capture in action.
Marketing Audit
A review of your current marketing — your website, social media, emails, and ads — to find what is working, what is not, and where your best opportunities are hiding.
Example
After an audit, a business discovers their website contact form was broken for three months, losing dozens of leads they never knew about.
Pipeline
A visual overview of where every potential customer is in your sales process — from first contact to closed deal — so you always know what to do next.
Example
Your pipeline shows: 15 new leads, 8 in follow-up, 4 with proposals sent, 2 ready to close. You can focus your energy on the ones closest to becoming customers.
Support Request
A formal message a customer sends when they have a problem or need help. It gets tracked from the moment it arrives until it's fully resolved.
Example
A customer reports that their account isn't working. A support request is created automatically, assigned to your team, and tracked until the issue is fixed and the customer is notified.
Webhook
An automatic notification sent from one software system to another the moment a specific event happens — like a form submission, payment, or appointment booking.
Example
When someone fills out your form, a webhook instantly sends their info to your CRM, adds them to an email list, and pings your team on their phone — all in seconds.
Workflow
A defined sequence of steps that happen automatically to complete a business task. You set the rules once, and the workflow runs on its own every time the right conditions are met.
Example
A new lead fills your form → they get a welcome email → two days later a follow-up → if no reply, a task is created for your sales team. That entire process is one workflow.
